Xero handles accounting very well. The trouble starts when the rest of your business runs somewhere else: a membership system, an online store, a CRM or an operational database. Someone ends up re-typing invoices, chasing payments across two systems and reconciling spreadsheets at month-end. A Xero API integration removes that double work by letting your systems talk to Xero directly.

What a Xero API integration actually does

Xero provides an API: a secure, documented way for other software to read and write data in your Xero organisation. A custom integration uses it to keep Xero in step with the systems you already run. Typical examples:

  • Create invoices automatically when a member renews, a subscription bills or an order ships, with the right account codes, tracking categories and VAT.
  • Sync contacts, so customer details live in one place and flow to Xero.
  • Record payments from your payment gateway against the right invoices, so accounts receivable stays accurate.
  • Pull financial data back out, such as outstanding balances, into your own portal, dashboards or Power BI reports.
  • React to changes in real time with Xero webhooks, for example updating a member’s status as soon as their invoice is paid.

When it’s worth building one

An off-the-shelf connector from the Xero App Store is the right choice when one exists for your system and does what you need. A custom integration makes sense when:

  • your core system is custom-built, or there is no reliable connector for it,
  • your process has rules a generic connector can’t follow, such as pro-rata fees, approvals or membership categories,
  • you need data to move both ways, or to combine Xero data with other sources,
  • staff spend hours each month capturing or reconciling the same transactions twice.

How it works under the hood

You don’t need to know the technical detail to commission an integration, but a few points shape cost and design:

  • Secure sign-in with OAuth 2.0. The integration never stores your Xero password. An authorised person approves access once, and can revoke it at any time from Xero.
  • Rate limits. Xero limits how many API calls an app can make per organisation, currently 60 calls a minute and 5,000 a day. A well-designed integration batches work and retries sensibly instead of hammering the API.
  • Data mapping. Most of the real work is agreeing exactly how your data maps to Xero: which account codes, tracking categories, tax rates (15% VAT in South Africa), branding themes and contacts to use.
  • Error handling and audit trail. Things will occasionally fail, for example a closed financial period or a deleted contact. A good integration logs every transaction, alerts someone and makes the problem easy to fix.

Xero’s developer pricing changed in 2026

From 2 March 2026, Xero moved to tiered pricing for apps that use its API. The free Starter tier covers up to 5 connected organisations. Paid tiers (Core, Plus, Advanced and Enterprise) are priced in Australian dollars and based on the number of connections and the amount of data an app pulls out of Xero each month. For most single-business integrations the Starter tier is enough, but integrations that serve many organisations, or that read large volumes of data, should be designed with these limits in mind. Current details are on Xero’s developer pricing page.

A real example: SAIT

For the South African Institute of Taxation (SAIT), we used the Xero API to automate member onboarding, renewals, applications and payments, so finance and membership work from the same, up-to-date information. Read the SAIT case study.

Getting started

  • Map the process first. Write down every step from “customer signs up” to “payment reconciled in Xero”, and note where people re-type data today.
  • Start with the biggest time-waster. Usually that’s invoice creation or payment matching. Automate that first, then build on it.
  • Test in a Xero demo company before connecting to your live organisation.
  • Plan for support. Xero and your other systems will keep changing, so make sure someone looks after the integration once it’s live.

We are a Xero partner and build custom Xero API integrations for South African businesses. See how we work with Xero or talk to us about your process.
